Data Deletion Instructions

Anyone whose data is held in HotelSarrthi can ask us to delete it — hotel owners and staff, hotel guests, and people who have messaged a hotel on WhatsApp through HotelSarrthi. This page explains how to make a request, what we delete, and how long it takes. It applies to data we receive from Meta Platforms, Inc. (including the WhatsApp Business Platform) as well as all other data in HotelSarrthi.

1. How to request deletion

  1. Email hotelsarrthi@gmail.com with the subject “Data deletion request”. You may also call or WhatsApp us on +91 96676 57413.
  2. Tell us who you are and which data you want deleted:
    • Hotel owners and staff — your name, the hotel’s name and the mobile number or email you sign in with.
    • Hotel guests and WhatsApp contacts — your name, the mobile number (with country code) the hotel used to contact you, and the hotel’s name if you know it.
  3. We will acknowledge your request within 2 working days with a reference number. We may ask you to confirm your identity — for example with a one-time code sent to the same mobile number — so that nobody can delete someone else’s data.
  4. We complete deletion within 30 days of verifying your request and confirm it to you in writing. You can quote your reference number at any time to ask about the status of your request.

2. Stopping WhatsApp messages

If you only want to stop receiving WhatsApp messages from a hotel, reply STOP to its message, block the number in WhatsApp, or tell us using the contact details below. We will record your opt-out and make sure that hotel no longer messages you through HotelSarrthi. Stopping messages does not delete your data — send a deletion request as described above if you want that as well.

3. Hotels disconnecting WhatsApp or closing an account

  • A hotel can disconnect its WhatsApp Business Account from HotelSarrthi at any time by writing to us. We then promptly revoke and delete the access token Meta issued to us for that account, and stop sending and receiving messages on its behalf.
  • A hotel can also remove HotelSarrthi’s access from its own Meta Business Settings (Business settings → Integrations → Connected apps). When Meta tells us access has been removed, we delete the stored token and WhatsApp account identifiers.
  • When a hotel closes its HotelSarrthi account, we delete its data, including WhatsApp message records and guest contact details, within 30 days — except the records listed in section 5.

4. What we delete

  • Your account profile — name, mobile number, email and role.
  • Guest details linked to you — name, mobile number, email and identity document details.
  • WhatsApp data received from Meta — your WhatsApp profile name, phone number, the content of messages sent to or from you, and their delivery and read status.
  • For hotels — the WhatsApp Business Account ID, phone number ID and access tokens obtained when the hotel connected WhatsApp.

Deleted data is removed from our live systems straight away and from encrypted backups when those backups expire in their normal cycle. We do not restore deleted data from backups except to recover from a system failure, and then we delete it again.

5. What we may have to keep

We keep only what the law requires — for example, GST invoices and payment records, which Indian tax law requires us to keep for a set period, or data we must preserve because of a legal claim or an order from an authority. If we cannot delete something, our confirmation to you will say what we kept, why, and for how long. Booking records that a hotel is legally required to keep (such as its guest register) are the hotel’s records; we will pass your request to the hotel and help it respond.
